Timesheets and how approval works

This guide is for a support worker. A weekly timesheet groups eligible shifts for one participant. Your daily approval and the participant's timesheet signature are different actions. Only a timesheet approved by the permitted participant or nominee can become an invoice.

Daily review on the native phone app

  1. Sign the shift note first. See Shift notes.
  2. Open Daily review from Today or More.
  3. Read the items in Cleared, Quick check and Needs your review.
  4. Use the decision offered for each item, such as approve, correct, hold or send to review. Add the requested reason when you edit or correct.
  5. For cleared items, Approve all cleared items as [your name] shows a confirmation with the count and total. Read it before confirming.

Nothing is approved merely because you leave an item waiting. Worker-approved shifts have a 24-hour concern window before they become eligible for the next stage.

Make and send the week on the native phone app

  1. Open Timesheets from More on Today.
  2. Start the week's timesheet for the participant. Weeks run Monday to Sunday.
  3. Tap Add shifts, choose eligible shifts, then Add selected shifts.
  4. Check the period, shifts, hours and total.
  5. Select Close week and send for approval.
  6. Choose the participant or a nominee with the required authority, then Send for approval.
  7. Check Waiting for approval. This does not mean the participant has signed or received an email.

Review and prepare timesheets on the web

Open Daily review, read each support, price and note, then choose the available approval or hold action. Some items require written review. Worker-approved shifts have the same 24-hour concern window as on the phone.

Open Timesheets, choose the agreement and weekly period, and create a draft. Open it, add eligible shifts, check the hours and total, then close the week. Choose the participant or an authorised nominee, type your full legal name and send for approval. An invoice still requires their signed approval.

What the participant does

They open the timesheet in their account, check each shift and sign if they agree. See Checking and approving a timesheet. Silence does not approve it. A supporter helping to co-approve does not replace the required participant or authorised nominee signature.

Your web Home shows timesheets waiting for approval. Check the actual Approved result before making an invoice.

If something is not right

The participant can raise a concern. A separate line objection applies to eligible quick-review lines. If a shift was approved individually in daily review, the pre-signing flow can send back the whole timesheet with a reason. The old blanket statement that these objections always fail no longer describes the current web flow.

Open Disputes on the web, or the relevant phone record, to review the issue. Read the recorded reason and use the available correction or response path. A disputed timesheet stays paused while the issue is reviewed.

If something goes wrong

  • No shifts to add. Check for signed notes, worker approval and the 24-hour window.
  • Write it before you close the week. Finish the missing note first.
  • Approval contact unavailable. Check the participant or nominee setup. Do not choose someone without the required authority.
  • Sending was not confirmed. Reopen the timesheet before retrying. A phone reminder control may be unavailable; do not assume an email went out.
